Clayfield Farm Booking Terms & Conditions

Thank you for booking with us.  We ask that you read and accept the following terms and conditions, which must be complied with by all persons visiting Clayfield Farm as a guest.

These terms and conditions enable us to maintain standards, assist in proper management, and ensure your safety. They also establish a clear legal contract for cancellation, damage, and exceptional circumstances.

1.ARRIVAL & DEPARTURE

CHECK IN: Accommodation is available from 3:30pm-7pm on the day of arrival.

If you are going to be arriving out of these hours, please call 07971 886157. In wintertime, these times may be brought forward, and will be confirmed with you prior to arrival.

CHECK OUT: Accommodation must be vacated no later than 10:00am on the day of departure. Please discuss with us, if you wish to request a later check out. An extra charge may be made for late check out.

We ask properties are left in a clean and tidy condition. All rubbish must be disposed of responsibly in the bins provided, and any breakages reported to us. All bed linen to be stripped off the beds and placed in linen bags supplied please.

 2.CANCELLATION

1. Cancellation (and assumed cancellation) by you:

In the event of a no-show or booking reduction (on or after arrival date), the full booking amount is still due.

If the booking is cancelled less than 3 days before the arrival date, the full booking amount is due, and any money already paid will not be refunded.

If the booking is cancelled 6 weeks or more before the arrival date, 50% of the total booking amount is charged. (ie. the charge of the non refundable deposit)

If we do not receive the balance within 7 days of when it is due, we will contact you. If we assume that you no longer want these dates, we will re-let. IF applicable, the deposit (if paid a booking confirmation deposit) is non-refundable. (If you do not/cannot make the second payment, please contact us.)

2. Cancellation by Clayfield Farm:

Clayfield Farm reserves the right to cancel a holiday in the event of extreme conditions of weather, terrorism, or war. In any of these very unlikely circumstances, your full payment will be returned to you.

Clayfield Farm reserves the right to cancel a booking at short notice if, in unforeseeable circumstances, we are unable to provide safe accommodation due to extreme conditions, ill health, fire, administration, or any other extenuating circumstance. Under such unlikely circumstances, your full payment will be returned, or an alternative date will be provided.

Clayfield Farm cannot accept liability or responsibility for any loss, including consequential loss caused by cancellation.

3.BOOKINGS

If booking 6 weeks before arrival date, bookings are secure once a deposit of 50% of the booking total has been made. If booking 6 weeks or less from arrival date then payment in full is required.

Upon receipt of a confirmation email, it is your responsibility to check the details and notify us immediately of any discrepancies.

The full booking balance must be paid at least 6 weeks before arrival, or otherwise agreed with us. Please contact Charlotte 01904 375190 or hello@cfhs.co.uk to discuss any booking/payment questions you have.

Group Bookings:

The lead booker/organiser of the group must be over 21 years old and responsible for providing accurate group details.

We are primarily a family site. We are only able to accommodate groups who want to enjoy our quiet, rural location.

It is a condition of our property insurance and your booking that the total number in your party should not exceed the capacity of the accommodation as advertised and should correspond with your booking request. We reserve the right to refuse entry to the entire group if this condition is not observed (turning up with extra people is not permitted).  Extra over-night guests arriving during your stay is also not permitted. All groups must have at least one member who is 21 years or over.

4.DAMAGE/ CONDITION OF PROPERTY

If on your arrival you find that any items or fittings, utensils, crockery, or cutlery is broken, damaged, or missing, please report it to us and it will be replaced.

We accept that accidents happen. However, you will be held liable for any damage or loss that we consider to be serious, intentional, or the result of neglect. You will be invoiced for any damage you cause to our properties or their interiors (including furniture and wood burner), site buildings, vehicles, or to the property of other guests. You will be required to make good within 7 days.

We reserve the right to charge for excessive cleaning where a shepherd hut, or cottage has been left in an unacceptable condition through, for example (but not limited to): waste, litter, interference with the structure, or movement of furniture and contents.

Children must not play unsupervised anywhere on the farm. Parents or guardians are responsible for the supervision of children onsite at all times. Please always use a fire guard (provided) on the wood-burning stove and supervise children closely when the barbecue is in use.

Dogs are welcome in THE FARMHOUSE, WHITEHEDGE HUT and PENNY HUT, but we ask that you abide by the following rules:

1.A dog’s visit must be confirmed in advance, at the time of booking.

2.Dogs must not be left alone in cars or accommodation.

3.Dogs are not allowed on any furniture nor in any bedrooms. (Please bring your own dog bed or basket for your dog to sleep on. We provide a clean dog towel and dog blanket for your pet on arrival.)

4.At all times, dogs must be well-behaved, on a lead, and under control everywhere on the premises, including the accommodation, gardens, shared spaces and car park area.

We do all we can to provide a safe, fun environment, but this is a working farm. We cannot accept liability for any accidents, personal injury, loss, or damage which may be sustained by your party, guests, or property during your stay at Clayfield Farm.

There is a No Smoking/Vaping Policy in all accommodation and the venue. Anyone who smokes outside of the units is responsible for disposing of cigarette butts in a bin or ash tray provided.

It is prohibited to interfere with, or adapt, the structure of the accommodation in any way.

Any property left behind will be kept for 4 weeks and returned by post on request only. The cost for return of lost property is that of the posting  charge + £10 admin fee. After 4 weeks, any items of lost property will be disposed of.

VISITORS: Please inform us of any extra persons visiting the site or properties at Clayfield Farm (for security reasons and as it is a private property) , before they arrive.  Visitors are NOT permitted to stay overnight and must be offsite by 11pm.

WCs : We have a sewage treatment plant (Septic tank) onsite, so please do not flush any wipes, nappies, beauty products, tampons, or sanitary towels into the toilet. A bin is provided in each bathroom for these items. Nappies and dog waste may be placed in a labelled separate bin outside by the dustbins.

Please respect our animals and those on the neighbouring farm, and do not distress the animals, drop litter, or enter the animals’ fields. Please keep gates closed.

Anyone causing a nuisance or disturbing the peace at Clayfield Farm site will be asked to leave immediately, without a refund. No loud music is permitted, and noise is to be kept a minimum after 10:30pm.

5.PRICING

Prices stated or advertised on the website and social media are not binding, and Clayfield Farm reserve the right to modify them. 

6.COMPLAINTS

In the event that you have any complaint about your stay, or any element of it, please notify Wayne or Charlotte 01904 375190 as soon as possible, while you are staying here, and we will do all we reasonably can to resolve the issue. Please speak up sooner rather than later, as we want you to enjoy your holiday.

7.FORCE MAJEURE

Force Majeure on the side of Clayfield Farm exists if the implementation of the agreement is entirely or partially, temporarily or permanently, prevented due to circumstances which are beyond the control of Clayfield Farm, including threat of war, staff strikes, blockades, fire, flood, storm, and other disruptions or events.

8.ACCEPTANCE OF THE TERMS & CONDITIONS

By booking with Clayfield Farm, you are accepting these terms and conditions.

Guests agree to conduct themselves in an appropriate, respectful, and law-abiding manner, to respect the owners and all property, whether belonging to Clayfield Farm, the owners, or other guests.

Any guests deemed to be in violation of site rules, causing disruption, or acting aggressively/illegally/unreasonably, will be asked to leave. In the case of a group booking, the whole group may be asked to leave, with any refund being solely at the discretion of Clayfield Farm.

We reserve the right to amend these terms and conditions at any time.
